FUNCTION

Under the administrative supervision of the Director of Financial Aid assist in the implementation of financial aid policies and procedures and provide financial aid information to the university community and prospective and current students.

 

DUTIES AND RESPONSIBILITIES

This position is primarily responsible for entry level financial aid officer duties, management of student employment, and front office management.

 

ENTRY LEVEL FINANCICAL AID OFFICER DUTIES 75%

Determine student aid eligibility, advise students, parents, and others on general financial aid policies and procedures. Keep up to date on current Federal Regulations and trends in student aid programs. Responsible for maintaining the accuracy and integrity of student programs.

  • Provide staff, students, and parents with information regarding the availability of federal student aid and the eligibility requirements.
  • Counsel students on policy and procedure in a timely and accurate manner.
  • Advise students regarding Satisfactory Academic Progress, Withdrawals, Disbursements and aid opportunities.
  • Maintain current knowledge of Federal Regulations and trends by reviewing Federal Regulations in the Federal Student Aid Financial Aid Handbook and Department of Education websites.

Responsible for, need analysis, verification, awarding and adjusting of aid through manual and automatic packaging methods. 

Responsible for the accurate reporting of federal and state programs as assigned by the director.

Responsible for managing and monitoring the daily profile/admitted student process.

Responsible for the data load processes, including but not limited to the MIL process, and complete awarding workflow.

Primary responsibility for scheduling student tours and appointments.

Travel as needed to provide financial aid expertise to prospective students: high school visits, college night programs, and regional center outreach programs.

 

FRONT OFFICE DUTIES, 15%

Primary responsibilities for the updating and maintaining the financial aid website

This position is responsible for the management of the front office operations including but not limited to the managing of document flow, operation of the imaging system, new requirements under the Federal Title IV Verification Rules, starting with assurance that the correct individualized documents are requested from students and families, reviewing submitted documents, scanning and labeling the documents correctly in the imaging system, determining and requesting secondary documents as needed, making FAFSA corrections through the review and verification of the items submitted, record maintenance and reporting.

Responsible for special event planning and coordination with other campus departments for orientation, financial aid workshops, high school counselor workshop and planned training sessions for staff. 

Primarily responsible for office payroll and reconciliation of Purchasing Card.   STUDENT EMPLOYMENT 10% Primarily responsible for hiring, scheduling and management of student employees.

This position is for training of student employees who provide initial customer service and who pre-screen the verification documents

Other duties as assigned.

Schedule is typically Monday-Friday, 8:00 am-5:00 pm. Occasional evening and/or weekend work required.

  • Knowledge of student information systems
  • Knowledge of customer relationship management systems
  • High level of proficiency in Word, Excel, PowerPoint, and Adobe

PHYSICAL AND MENTAL DEMANDS

Ability to hear a normal conversational voice and telephone conversation, with or without a hearing device; ability to speak and be understood under normal circumstances; ability to read and to understand written and spoken language; ability to see with or without vision aid.  Use of fine motor skills and dexterity to type and input computer information.  Use of gross motor skills for filing, handling of paperwork and equipment.  Ability to communicate with a variety of audiences; ability to understand and work with numbers and detail work.  Physical fitness adequate to maintain long hours and work under pressure.
