FUNCTION AND RESPONSIBILITY
As part of the Advancement team and reporting to the Vice President of Advancement, the Data Coordinator is responsible for data-base integrity, assisting in report generation, and the administrative aspects of the annual fund and phonathon for the LSSU Advancement Office.
DUTIES AND RESPONSIBILITIES
- Assist in a wide range of activities, exercising strict confidentiality and discretion.
- Actively manage the ongoing improvement of data integrity and enhancement of the Advancement Database including but not limited to: updating and correcting database records in Banner and Constant Contact, directing student-employees in this effort, and the integration of vendor-provided batch processing, NCOA and other sources with the support of the University IT Department in conjunction with the Advancement team.
- Provide report generation support to the Advancement Office for mailing lists, email lists and gift and expense reporting.
- Back up support for processing gifts and pledges and perform associated accounting functions. Prepare gift receipt letters.
- Assist in planning, coordinating and hosting special events, including but not limited to, Great Lake State Weekend, Lake State Golf Classic, Lake State After Hours, Commencement, reunions, alumni socials and alumni affinity programs.
- In coordination with Alumni Relations Director, assist with processing and maintenance of Alumni Association membership records, including dissemination of benefits and membership packages, reminders and renewals. Maintain adequate inventory of all membership fulfillment materials. Coordinate correspondence with members.
- Dispatch mail, inventory and order office supplies.
- Assist with directing and training student employees in coordinating support of all development activities.
- Assist in the preparation and dissemination of meeting materials and minutes to the Alumni Board of Directors and related committees.
- Maintain office files. Assist in payment of bills and creation of purchase requisitions in compliance with university policies.
- Assist with identifying, hiring, training, supervising, managing and evaluating the student telemarketing team in consultation with the Alumni Relations Director.
- Work with the Advancement team to prepare and analyze monthly reports on the progress of the annual fund program.
- Coordinate and solicit community support/sponsorship of special events with other Advancement team members.
- Obtain and maintain familiarity with University policies and procedures, and Advancement events and programs.
- Abide by the standards of ethics and best practices as defined by the Association of Fundraising Professionals.
- Perform other duties as assigned to support Advancement team and/or the business operations of the Advancement Office.
